This policy describes how Regrow Borneo collects, protects and uses the information given to us by you. It sets out the different areas where user privacy is concerned and outlines our obligations to our users and also what our users agree to when you use our website. The way we process, store and protect user information is set out in this policy. This policy is available on our website. 

2. WHO WE ARE 

Regrow Borneo is a Charitable Incorporated Organization (Charity Number 1196099) working on the collaborative development of better solutions for tropical reforestation of the Kinabatangan, Borneo. 

3. DATA PROTECTION 

Regrow Borneo takes data protection very seriously and is committed to protecting your privacy and security. The personal data we hold is subject to legal safeguards in the General Data Protection Regulation 2018. 

Regrow Borneo collects and uses information about supporters in order to carry out our work. There is also a legal requirement to keep information for some situations, for example, processing Gift Aid donations. We recognise that the correct and lawful treatment of this data is necessary for you to have confidence in our organisation. 

Regrow Borneo takes great care to preserve your privacy and safeguard any personal details you provide to us, and we will never exchange or sell your information to another organisation.

4. WHAT INFORMATION DO WE COLLECT? 

We collect and use your personal information for carefully considered and legitimate charitable business purposes that help ensure we can run Regrow Borneo efficiently, raise funds effectively and deliver our charitable objectives.  

 

 

Website browsing 

The Regrow Borneo website is hosted by Squarespace. As you browse our website and whenever you communicate with us, we collect information. Squarespace collects personal data to power site analytics, including: 

  • Information about your browser, network, and device 

  • Web pages you visited prior to coming to this website 

  • Your IP address 

This information may also include details about your use of this website, including: 

  • Clicks 

  • Internal links 

  • Pages visited 

  • Scrolling 

  • Searches 

  • Timestamps 

We share this information with Squarespace, our website analytics provider, to learn about site traffic and activity. 

This deepens our understanding of what you are interested in, and helps us improve the efficiency of our communications. 

Personal data you give us 

There are pages on our web site that will ask you provide personal information, for example if you wish to be kept informed of our activities or donate to Regrow Borneo. 

If you wish to sign up to receive newsletters or updates, we will ask for a name and email address and organization. 

You may also be requested to provide personal data should you wish to donate to Regrow Borneo. At present, all donations are processed via Donorbox. Donorbox will collect basic payment information as well as your name, home address and email address. Please see Donorbox’s privacy policy for more information.  

By providing us with your personal information, you are consenting to the collection and use of that information as defined by this policy. 

We will not keep your personal information longer than necessary. We will retain that information while you wish us to communicate with you, or while you are donating to us. If you wish us to cease communications, we may need to retain your contact information so that we do not inadvertently get in touch with you. 

 

Sensitive personal data 

We do not normally collect or store sensitive personal data (such as information relating to health, race, religious beliefs or political opinions) about supporters and members. 

Information we generate 

We may conduct research and analysis on the information we hold, which can in turn generate personal data. For example, by analysing your interests and involvement with our work we would hope to build a profile to help us decide which of our communications are likely to interest you. 

Information from third parties 

We may also receive information about individuals from third parties. 

Regrow Borneo donations are processed by Donorbox, via Paypal.  When you donate, Donorbox will ask whether you consent to receiving email from Regrow Borneo about the impact of your donation and other ways to support them including future events, campaigns and appeals. Your consent preference will be shared with Regrow Borneo. Note that the charity will need to receive your personal data to send you emails you consent to receive. 

Details of these payments passed on to Regrow Borneo will include the donation amount and, if you have opted-in to receive communications from us, personal data such as your name, email address and postal address and whether Gift Aid was claimed. 

 If you donate to us then we may keep records of when and how much you gave to a particular appeal or campaign. 

We also use social media platforms for engaging with our supporters, such as Facebook and Twitter. As a result, we collect information from social media where you have given us permission to do so, or if you post on one of our social media pages. 

5. HOW WE USE INFORMATION 

We strive to provide a clear, honest and transparent approach regarding how and when we collect and use your personal data, we’ll only use your personal data where you would expect us to do so and we’ll only use your information for the purpose or purposes it was collected for, including as follows: 

Communications 

Regrow Borneo asks its supporters to “sign-up” for most communications, including all our E-marketing communications (this may include information about reforestation, fundraising, and other Regrow Borneo news).  

We use personal data to communicate with people and to promote Regrow Borneo. This includes keeping you up-to-date with our news, updates, fundraising campaigns and ways support us.   

Both our website and emails that we send to you will contain a means of changing your communications preferences, with the option of opting out completely. Emails that we send may be monitored to help us evaluate which emails appeal most to you. 

When you receive a communication from us, we may collect information about how you respond to or interact with that communication, and this may affect how we communicate with you in future. 

Fundraising  

As a charity, we rely on individual donations, and support from others to undertake our conservation work. From time to time, we will contact members and supporters with fundraising communications.  

Networking 

Regrow Borneo may also use of publicly available information to identify people who may be interested in partnering with us. This information may include newspaper or other media coverage, open postings on social media sites such as Twitter and LinkedIn, and data from Companies’ House and the Charity Commission. 

6. DISCLOSING AND SHARING DATA 

We will not sell or rent your data to any other organisation unless there is a legal requirement for us to do so. 

Partners 

Occasionally, where we collaborate with other organisations, we may also share information with them (for example, if you register to attend an event being jointly organised by us and another charity). We will only share information when necessary and we’ll make sure to notify you first. 

Links to other websites 

Some of our web pages may contain links to other web sites where we think those sites may provide information of interest to our readers. These might include news articles or links to to social media sites (for example Facebook, Twitter).  In order to donate to Regrow Borneo you will also be redirected to Just Giving. 

While we make every effort to only share the details of reputable sites, please be aware that we have no liability for the content or functionality of any of those sites. If you choose to follow these links, they may ask for access to your data on their sites.  We suggest you read the privacy policy of any website before providing any personal information. 

When purchasing goods or services from any of the businesses that our site links to, you will be entering into a contract with them (agreeing to their terms and conditions) and not with Regrow Borneo. 

Cookies 

Our website is hosted by Squarespace. You can set your browser to not accept cookies; each browser provider will have information on how to do this. In a few cases some of our website features may not function correctly as a result. 

We use Google Analytics to help us understand how our website is performing and to collect data about traffic through our website via Google advertising cookies and anonymous identifiers. In addition to data collected through a standard Google Analytics implementation, Regrow Borneo uses the following advertising features: Remarketing with Google Analytics, Google Display Network Impression Reporting, DoubleClick Platform integrations & Google Analytics Demographics and Interest Reporting.

7. YOUNG PEOPLE 

We understand that young people may feel passionately about restoring our forests and the wildlife they support.  

We welcome enquiries from children, but we are also well aware of our responsibilities to protect them. We ask that people under 18 do not give us their personal information and rather ask that a parent or guardian act on their behalf. 

We may occasionally offer opportunities for young people to engage in campaigns i.e. by entering competitions, sharing photos, stories or pictures. We ask for parental permission prior to publishing any content provided by a child, on any of our platforms.   


8. DATA STORAGE 

Where we store information 

Regrow Borneo operations are based in the UK (while we do work abroad) and we store our data within the European Economic Area (EEA).  

Some organisations that provide services to us may transfer personal data outside the EEA, but we will only allow them to do this if your data is adequately protected. 

How long we store information for? 

We will only use and store information for as long as it is required for the purposes for which it was collected. How long this will be depends on the type of information and how it is used. For example, if you ask us not to send you marketing emails, we will stop storing your emails for marketing purposes (although we will keep a record of your preference not to be emailed). 

We continually review what information we hold and delete what is no longer required. We never store payment card information. 

9. DATA PROTECTION RIGHTS 

You have the right to request details of personal information that we hold about you. Please send a request in writing to the postal address at the end of this document, giving a description of the data that you would like to see and proof of your identity. We will endeavour to confirm your identity before releasing any information. We may charge a small fee for complying with your request and we will respond within 40 days unless exceptional circumstances prevent us from doing so. 

Please keep in mind that there are exceptions to the rights above and, although we will always try to respond to your satisfaction however, there may be situations where we are unable to do so.

If you are unsatisfied with something that we have done or failed to do, please get in touch with us directly. We also welcome your views on what we do well. Your comments enable us as an organisation to learn and continuously improve our services.
